How do I add the event to the digital agenda of guests?

Introduction

Reduce the risk of no-shows by allowing guests to add the event to their digital calendar such as Outlook, Google Calendar or Lotus Notes.

In this help-article

An event in one day and one location

Set the event information

  1. Go to Communication Event information
  2. Click on the Add button 
  3. Enter the date, time and name of the location
  4. Select whether it is an online or live event
    • If it concerns a live event, please enter the address of the location
    • If it concerns an online event, please enter the link to the livestream page
  5. Click on the Save button 

Attach the calendar file to the automatic confirmation email

  1. Go to Registration > Registration Form > Automatic Emails
  2. Click on for Confirmation to activate the confirmation email or click to edit the existing confirmation email
  3. In the editor, go to Personalize > Info > Download calendar
  4. Click on the Save button

An event on multiple days and/or locations

Create a calendar file

Using Windows

  1. Open Outlook or Lotus Notes
  2. Add a new appointment for each day and/or location
  3. Save these appointments as .ics file on your PC or laptop

Using Mac

  1. Open Agenda
  2. Add a new activity for each day and/or location
  3. Right click on the activity and then on Email activity
  4. The opened email contains an .ics file. Right-click on it, then on Save attachment and save the file on your PC or laptop
  5. Repeat steps 3 and 4 for each added activity

Attach the calendar file to the automatic confirmation email

  1. Upload the file to the media gallery under the tab Documents
  2. Use custom tags to add the correct calendar file. You do this in the same way as adding a document
