If you are organizing an event where the invitees can register multiple guests, you must take this into account when creating the registration form. Depending on the structure of the event, there is one good way to set up the registration form, so that the event communication runs correctly.

 

The invitee comes along with all the sub-guests and a personal e-ticket per guest is not necessary

For example, if you organize a Sinterklaas party, you want to know how many guests you can expect. However, you only send the confirmation of the registration to the main guest.

  1. Go to Invite> Registration Form
  2. Select the 'Configuration' tab and then 'Form fields'
  3. Add any form fields you want, including the question "How many people are you coming with?"
  4. Optionally link the field tags 'first name', 'insert', 'name' and 'email address' to the form fields of the main guest

 

Consequences

  • The confirmation email and further event communication is sent to the main guest
  • If applicable, one e-ticket is generated
  • When registering on-site, it is not possible to indicate whether all registered sub-guests are present, which may give a distorted picture of the shows / no-shows

 

The invitee comes along with all the sub-guests and a personal e-ticket per guest is required

For example, if you organize a family day at an external event location where e-tickets are scanned to gain access, all family members need a personal e-ticket. You only want to send the event communication to the invitee.

  1. Go to Invite> Registration Form
  2. Select the 'Configuration' tab and then 'Form fields'
  3. Select the total number of guests that can be registered per registration
  4. Add all desired form fields and:

 

Consequences

  • The confirmation email and further event communication is sent to the main guest
  • A personal e-ticket is generated for each guest
  • The main guest receives one .pdf file with a personal e-ticket for the sub guests on each page
  • Because every e-ticket is registered on-site, you have exact insight into the show / no-shows

 

The invitee is (possibly) separate from the sub-guests

For example, if you organize a conference where the invitee also registers his / her colleagues, you want all registered guests to receive a confirmation of the registration with a personal e-ticket. This makes it possible for each guest to arrive at the event individually.

  1. Go to Invite> Registration Form
  2. Select the 'Configuration' tab and then 'Form fields'
  3. Select the total number of guests that can be registered per registration
  4. Add all desired form fields and:
    • Set for each form field from / to which guest it should be shown and / or required. If you use e-tickets, the fields that are linked to the field tags 'first name', 'insert', 'name' and 'email address' must be visible to all guests.
    • You can link the field tags' first name ',' insert, 'name' and 'email address'

 

Consequences

  • The confirmation email and further event communication will be sent to all guests
  • If applicable, a personal e-ticket is generated for each guest
  • The main guest receives one .pdf file with on each page a personal e-ticket for the sub guests, the sub guests only receive their own personal e-ticket
  • Because every e-ticket is registered on-site, you have exact insight into the show / no-shows
